Initial Paperwork Process

To complete your employment paperwork you will need to bring your orignal documents from the acceptable document list.

Then schedule an appointment with

Documents to complete with Business Services personnel

  • W-4 Employee Withholding Certificate
  • ACA variable Hourly Employee Notice
  • Payroll Direct Deposit

Do NOT send any information via email to avoid compromising your identify.

Get your A# and password set up

You will recieve an A#. You will need to set up your password, referred to as your strong password. This will provide you with the tools you need to set up your email and sign into software programs for training, timekeeping, and more.

An email account will be set up for you using your firstname.lastname@usu.edu. As per policy 557, you are required to use your usu.edu email for all university business conducted as a USU employee. This includes all staff, hourly, volunteers, staff, and faculty employees.

Authenticator a two-factor authentication

The university uses a two-factor authentication system in conjuction with your A# and strong password. You can learn more about setting up at Authenticator. Assistance is available from your immediate supervisor or with USU help desk or 435-797-HELP.

Service Now portal

Service Now is a ticketing system used by Utah State University. To access use your A# and strong password. There are tutorials in the program that can help you.

Human Resources Department

Your immediate supervisor will help you with the onboarding process. The USU HR website has many resources for you. Locate the "new employee" tab at the top. It provides important first steps and links to new employees packets and slide for a new employee orientation. You will also find information on benefits, purchasing a parking pass, and needed trainings.

The USU policy library will also be a valuable recourse in answering questions and understanding how the university functions.

Safety

The safety all employees and students are of the utmost importance to the College. If you see any issues please contact our Safety Chair.

Any incident or near-miss incident needs to be reported.

  • Near Miss Reporting - The following form to report incidents where no injury or property dames occurred.
  • Employee Injury Report - Fill out the Workers' Compensation form to report an accident(s) that resulted in an injury.
  • Incident Injury Reporting - Fill out form below to report an accident(s) for any individual that resulted in an injury at USU.

Call 911 on campus and you will reach Campus Police.

Staff Employees

Employee Performance & Development Program

The program is used by USU to give supervisors a check-in with you for support and feedback. The College of Veterinary Medicine as opted to have one check-in per year as a minimum. More information can be found at: https://www.usu.edu/hr/current-employees/performance-development

Staff non-exempt timekeeping

Use mytime.usu.edu to submit leave. This will take you to the time management system in Service Now. If you are not already logged in, you will need to sign in with your A# and strong password. Once you are signed in, select "New Leave or Exception" and complete the form to request time off. Your supervisor approve your request. Comp Time must have prior approval from your supervisor.

Hourly Employees

Timekeeping

Hourly employees or Non-benefited employees will use aggietime to submit your hours. Hours need to be submitted weekly and promptly to ensure paycheck is not interrupted.

Graduate Students on Assistantships

The College of Veterinary Medicine will have graduate students in the future. Please check the website for opportunities available after Fall of 2025.

Volunteering at USU

A volunteer may not be used to displace or negatively impact the employment of a current employee or replace a past employee or position. University Policy 535: Volunteer Services.

Training

University training is provided through the ILS systems training. Initital training needed will be FERPA training in the ILS system. Other trainings will show on your dashboard as required or optional training. Check with your supervisor on specific trainings you will need to complete.
